Privacy Policy

1. What We Collect

From customers (plugin purchasers):

  • Name and email address (provided at purchase via Lemon Squeezy)
  • Payment information (processed and stored by Lemon Squeezy — we do not store credit card details)
  • License key activation data (site URL where the plugin is activated)

From the Plugin itself:

  • The free version (Monitor tier) does not transmit any data to our servers
  • Paid tiers (Protect, Optimize, Scale) contact our license server to validate your license key. This transmits your site URL and license key only
  • Anonymous telemetry (opt-in only): If you choose to enable anonymous usage telemetry in Settings, the plugin sends a weekly report to our servers containing: plugin version, WordPress and PHP version, active feature flags, aggregate bot count, license tier, and site locale. This data is tied to a randomly generated instance ID — not to your site URL, domain, or any personally identifiable information. Telemetry is off by default, available on paid tiers only, and can be disabled at any time in Settings
  • No visitor data, bot logs, IP addresses, or site content is ever transmitted to Crawlantix servers
  • AI Visibility (Optimize & Scale), opt-in: If you enable AI Visibility and supply your own AI-provider API keys, the plugin sends queries containing your brand name, domain, industry, location, and competitor names directly from your server to the AI providers you configure (OpenAI, Anthropic, and/or Google). This data goes to those providers — never to Crawlantix. See Section 5 for details. The feature is off by default; if you do not enable it, no such calls are made.

2. What We Do NOT Collect

  • We do not collect personal data about visitors to sites running the Plugin
  • Bot detection, logging, IP hashing, and geographic lookups happen entirely within your WordPress installation
  • We have no access to your bot logs, honeypot data, blocked IP lists, or site analytics
  • Even with telemetry enabled, we never receive your site URL, domain name, visitor IPs, or any content from your site
  • Exception — AI Visibility (opt-in, Optimize & Scale): When you enable AI Visibility, the plugin sends the queries you configure directly to the third-party AI providers you choose, using the API keys you supply. Those providers receive that query data and their own privacy policies and terms govern its handling — including any use of it to train their models. Crawlantix still never receives this data. Your API keys are stored locally in your WordPress installation, are sent only to the respective provider over secure connections, and are excluded from backup exports by default.

3. How We Use Your Data

  • To deliver and activate your license
  • To provide customer support
  • To send transactional emails (purchase confirmation, renewal notices)

We do not sell your data to third parties.

4. Data Retention

Customer data is retained for the duration of your subscription plus 12 months after cancellation (for support and accounting purposes). You may request deletion of your data by contacting support@crawlantix.com.

5. Third-Party Services

  • Lemon Squeezy (payment processing, Merchant of Record)
  • Vercel (website hosting)
  • MaxMind GeoLite2 (geographic lookup database): If you enable the GeoIP feature and provide your own MaxMind license key, the plugin downloads a geographic database from MaxMind's servers. IP-to-country lookups are performed entirely locally on your server — no visitor IP addresses are sent to MaxMind. MaxMind's own privacy policy applies to your account with them.
  • OpenAI, Anthropic, and Google (AI Visibility, Optimize & Scale — only when you enable the feature and provide your own API key): If you enable AI Visibility, the plugin connects to the providers you configure (OpenAI api.openai.com, Anthropic api.anthropic.com, Google generativelanguage.googleapis.com) and sends your configured queries using your own keys. Each provider's own terms and privacy policy govern that data, which may include use of submitted content for model training. This happens only when you enable the feature; the keys and queries never pass through Crawlantix.

6. Your Rights

You have the right to access, correct, or delete your personal data. Contact support@crawlantix.com for any privacy-related requests.

7. Governing Law

This Privacy Policy is governed by the laws of British Columbia, Canada, and applicable Canadian federal privacy law (PIPEDA).
